We decided to eliminate the first problem, which is having the person at reception (which is also a salesperson) taking in the information about the patients coming in. Instead, we created an online front-end form displayed on an iPad at the entrance that patients need to fill before an eye exam.

To avoid the patients from entering fake emails or wrong addresses, we connected the required fields to APIs that verify or complete the information input.  Upon submitting the form, the request is sent to a portal where they are treated. Using API connections with their PMS, we are able to match the information with Harry Toulch’s database to either create or update a patient.

Additionally, we created a module where optometrists can enter the patient ID code and generate work orders and eye exams form with the patient’s information already printed thus limiting the error of transcribing it.
